  • Can I see a chart for the exact modality I perform most, with lot capture, on a tablet?
  • Is the BAA included at no cost, and can I read it before signing?

  • What does it cost to leave — and can I export everything myself today?

How to compare vendors without getting sold

Run the same process against every shortlisted vendor, in this order. It takes about three weeks and it removes almost all of the risk.

1. Write your must-have list first

Ten to fifteen requirements, written before any demo, weighted. Demos are designed to reset your priorities; a written list stops that.

2. Demo with your own scenario

Ask each vendor to run one of your real visits end to end: book, intake, chart with a lot number, photo, checkout with a package, commission and rebook. Watch the clicks.

3. Price the whole invoice

Get a written quote covering every line in the pricing study: subscription, per-seat, implementation, migration, SMS, AI, marketing, processing rate, extra locations, API.

4. Test the exit

Ask for a sample export of charts, photos and consents. If the answer is a support ticket and a fee, you are buying a lock-in.

5. Check compliance evidence

BAA, audit-log sample, access-control model, hosting and encryption posture, and how a state board request would be fulfilled.

6. Reference-call a clinic like yours

Same modality mix, same size, at least nine months live — long enough to have hit the second-year invoice.

7. Pilot before you migrate

Run one provider or one location in parallel for two weeks. Migration is the expensive part; pilot first.
